Registration for Private Lessons

Based on information we receive from you we will match the student with a teacher and assign a suitable time for your lesson. Once the Registration Form is completed, signed and payment received we will notify the teacher that they have a new student and ask them to begin teaching.

• First month’s payment is due at time of registration.
• Post dated cheques, EFT form, or pre-authorized credit card information must be completed at time of registration or drop-in rates will apply.
• VCPA accepts Debit, Mastercard, and Visa.
• At this time we DO NOT accept American Express or other types of credit cards.
• Visa or Mastercard gift cards can not be used for pre-authorized payments.
• Pre-authorized fees will be processed on the first of each month. Fees may take up to 2 – 3 days to process.
• Pre-authorization forms must completed and delivered on or before the first day of the student’s lessons.
• Only the students named in the registration will be permitted to attend lessons, student switching or substitution is not permitted.

Registration For Yearly / Semester  Based Group Lessons & Drop-Ins

Students wanting to take a class may register in person at our offices, over the phone, or by using our online contact form. Once payment is received, the student will be added to the class list. We ask that the registrations be completed as soon as possible. This allows the teacher time to gather materials and helps the registration staff prepare enough space to hold the class.

• Lessons are all paid in advance
• The first month's lesson fees are due at time of registration.
• Full payment for Musical Theatre,Music Funtime, Creative Drama, Young Musicians, and Group Guitar is required at time of registration. Split payments options available. Please ask.
• A pre-authorization debit or credit form, or post dated cheques is required at time of registration for a split-pay based class.
• Drop-in lessons are available year round, and are paid by the lesson in advance.

Missed Lessons & Make-Up Lessons

• If the designated instructor is not available for a lesson, VCPA reserves the right to provide a substitute instructor. In the event that a substitute instructor is not available, the student has the option of a make-up class or a refund.
• Instructor availability cannot be guaranteed.
• No refunds will be provided for student absences
• We ask that you provide as much notice as you can if you are going to miss a lesson. Make up lessons (for Private lessons ONLY):
  o Must be scheduled within two weeks of the missed lesson
  o Must be scheduled within the designated instructor’s normal schedule
  o Will be scheduled at the discretion of a VCPA staff member.
  o Makeup lessons may not be possible if the instructors schedule is near full.
  o Each student will be allowed a maximum of 2 make-up lessons per semester (Sept-Dec and Jan-June)

Missed Payments

• Pre-authorized fees will be processed on the first of each month.
• All declined or missed payments are subject to a $30 administration fee, regardless of payment method.
• Students will be removed from programs should payments fall two month into arrears.

Substitute Teachers

• Visionary Centre reserves the right to use a substitute teacher when required.
• If the designated instructor is not available for a lesson, Visionary Centre reserves the right to provide a substitute instructor. In the event that substitute is not available, the student has the option of a make-up lesson or a refund.

Withdrawals from Lessons

Withdrawals may be made up to two weeks prior to the commencement of any program subject to a $30 administration fee. After that date the first billing period will be charged as well.

A written and signed notice must be provided to the student coordinator for all withdrawals.Non-attendance of lessons or telling someone such as the instructor does not constitute a withdrawal. All lessons remain billable until formal notice is provided in writing to the student coordinator.

• Private lessons or monthly payment group classes: written notice must be provided by the 15th of the month prior to the next billing date 
• There are no refunds for programs for students less than 3 years of age after the second class.(Kindermusik and Music Funtime)
• Creative Music: After the 3rd class refunds will only be given for the 2nd semester at per semester pricing
• Young Musicians: No refunds after the 3rd class. Materials fee non-refundable
• Musical Theatre: No refunds after the 3rd class. Materials fee non-refundable

Books and Materials

Material fee deposits are for the exclusive use for the specific program intended and must be for learning materials. At the conclusion of each program, any residual credit will be removed at Visionary Centre’s discretion.

• Books and materials are not included in the tuition unless otherwise stated. Most students will require books and materials which may be purchased at Innovations Music.
• All book sales are non-refundable.
• Musical Theatre materials fee is non-refundable.

Festivals and Special Events

Students wishing to enter music festivals or competitions may be required to take additional lessons and to cover any other costs associated with the event, i.e. accompanist, costumes and/or travel.

Exams

Students are responsible for their own RCM or Conservatory Canada examination fees and accompanist.

Recitals

There will be admission charges for recitals held at any venues other than Visionary College.

Code of Conduct & Student Safety

We strongly encourage that all parents walk their students to and from their lessons for safety reasons. This also allows the instructor touch base with the parents regarding lesson updates and progress.

Visionary Centre reserves the right to refuse any student. Students are encouraged to conduct themselves in a polite and courteous manner while at our facilities and while performing at any VCPA sponsored event.
